Our Custom Waterproof Bag Process

A waterproof bag is not printed onto stock — it is engineered. Our custom process moves your project through six controlled stages, each with a defined deliverable and a defined timeline. The whole journey from first RFQ to DDP delivery typically runs 45–70 days for a 1,000-piece order, with sampling completed in 6–10 working days. Below is exactly what happens at each stage and what you receive.

Stage 1 — RFQ and requirement gathering

Send us whatever you have: a competitor link, a physical sample, a hand sketch, or just a written description. The more detail you give on intended use, target IP rating, target retail price and order quantity, the tighter our first quote. We ask about: bag type, capacity, fabric preference, closure, logo colours, target markets (which drives certification), and destination country (which drives DDP freight).

Stage 2 — Tech pack and costing

Our design team turns your brief into a tech pack: dimensioned drawing, BOM (bill of materials), fabric spec, weld spec, decoration position and unit cost breakdown. Unit cost is driven by four levers — film thickness, decoration method, order quantity and hardware grade — and we show you the trade-offs so you can optimise your landed margin. Stage 3 — Sampling (6–10 working days)

We cut and weld a physical sample to the approved tech pack. You receive it by express courier alongside photos and a video. The first round of revisions is free; we adjust weld overlap, strap length, pocket placement or logo position until the sample is approved. Sampling is the cheapest place to get the design right — changes here cost days, changes in bulk cost weeks.

Stages 4–5 — Material prep, welding and decoration

Once the sample is approved and deposit received, we buy the fabric roll and approve it under D65 light for colour, weight and film thickness. Cutting is die-cut or CNC. Panels are joined on RF or hot-air welders with in-line submergence checks every two hours. Decoration (screen print, heat-transfer, embroidery or patch) happens after welding so seams stay clean. You can watch progress via photo reports or a factory video call.

Stage 6 — AQL inspection and DDP delivery

Finished units are packed, cartoned and sampled to AQL 2.5. We photograph the loaded container and share the report before dispatch. Freight is DDP to 100+ countries: we handle export declaration, ocean or air freight, destination duties and clearance, and deliver to your door. HS codes are prepared under the WCO HS Nomenclature.

Why sampling takes 6–10 working days

A physical sample is not a mock-up — it is built on the same tooling and welders as bulk. Cutting the pattern, welding a first panel, attaching hardware, applying the decoration and pressure-testing the seal takes six to ten working days. Rushing sampling into three days usually means skipping the pressure test, which is exactly how leaks reach bulk. We ship the approved sample to you by express courier alongside photos and a short video, and the first round of revisions is free. Most clients approve on the second sample.

Decisions that move the quote up or down

Unit cost is driven by four levers. Film thickness: 0.5 mm PVC is the budget floor, 1.0 mm TPU nylon is premium. Decoration: one-colour screen print is cheapest; full-surface DTF and embroidery cost more. Quantity: 500 pcs carries a setup penalty; 5,000+ pcs unlocks pricing at the bottom of the range. How QC runs through production

Quality is not a final gate — it is continuous. Incoming fabric rolls are checked for weight, thickness and D65 colour. On the welding line, a sample seam is submersion-tested every two hours. Decoration is checked against a printed colour reference every shift. Final goods are sampled to AQL 2.5, meaning we inspect a statistically representative sample and reject the batch if critical defects exceed the threshold. We share the pre-shipment report and loaded-container photos before dispatch. Independent third-party inspection by SGS, Bureau Veritas or Intertek can be arranged on request.

Communication and project visibility

You are not left in the dark between deposit and delivery. We send a photo at sample approval, a photo when cutting starts, an in-line weld QC photo during welding, and the pre-shipment report before container loading. For larger projects we offer a factory video call so you can see your bags on the line. Your dedicated sales engineer replies within 24 hours on email or WhatsApp.

Payment terms and how we protect both sides

Standard terms are 30% deposit on order confirmation and 70% balance before shipment, by T/T wire. For first-time buyers we can use an escrow or trade-assurance channel so the balance is only released once you are satisfied with the pre-shipment report. Samples are paid upfront by the buyer and refundable against a bulk order. We never ask for 100% payment before production starts. This structure is designed so a new brand can start small, verify quality, and scale with confidence.

Incoterms we support

We ship FOB, CIF and DDP. Most of our export buyers choose DDP because it simplifies landed-cost budgeting. If your logistics team prefers to control freight themselves, FOB Xiamen or Shenzhen works equally well. We will quote whichever term you request and prepare the matching documents: commercial invoice, packing list, bill of lading or air waybill, and certificate of origin. HS codes are aligned to the WCO HS Nomenclature.

How AQL inspection works on your order

Final inspection follows AQL (Accepted Quality Limit) sampling. For a 1,000-piece order we inspect a statistically representative sample (roughly 80–120 units) rather than every piece, and classify defects as critical (leaks, broken hardware), major (visible print errors, wrong size) or minor (slight stitching). At AQL 2.5 the batch is accepted if major defects fall under the threshold. We photograph the sample grid and share the report. Buyers who want 100% inspection can request it as a line item. Waterproof units are pressure-tested on a sample basis.

These are indicative; exact transit depends on carrier schedules and customs clearance. Air freight cuts sea time to 7–12 days at a higher per-kilo cost and is recommended for urgent seasonal stock.

Common mistakes first-time buyers make

After hundreds of orders we see the same avoidable errors. First, skipping the physical sample and approving on photos alone — weld feel and hardware tension are hard to judge in a picture. Second, under-specifying the film thickness to hit a price point, which leads to a bag that feels thin and flimsy. Third, sending a low-resolution logo file that prints blurry at scale. Fourth, ordering too few cartons for the promotion timeline and then rushing air freight. Fifth, not declaring the destination country early, which means the DDP quote misses duty categories. The documentation package you receive

For every bulk order we supply a complete export and compliance pack so your warehouse and customs broker have everything they need. The pack includes the commercial invoice, packing list, bill of lading or air waybill, certificate of origin, pre-shipment inspection report, and — on request — test reports for REACH, Prop 65, IEC 60529 waterproof rating, and ISO 9001 quality certification. For retail buyers we also provide artwork proofs and Pantone colour confirmations. This means fewer back-and-forth emails after the container ships.

Design support for buyers without a tech pack

You do not need a technical background to order from us. If you have a product idea but no drawings, our design team will help. Send a reference link, a photo of a bag you like, or a description of the use case, and we will propose the structure: which closure, which fabric, which pockets, which decoration. We produce a dimensioned tech pack and a 3D or hand-rendered mock-up for approval before any cutting starts. Buyers who come with only a sketch usually approve the second sample. This design service is included in the sampling process at no extra engineering fee; tooling for fully new patterns is quoted separately and credited against bulk.

What happens after delivery

The relationship does not end when the container arrives. We track how the product performs in your market and are available for warranty handling, reorders and design iterations. If you run a reorder, we reuse the approved tech pack and fabric reference so the second shipment matches the first. If you launch a new SKU alongside your existing line, we treat it as a fresh sampling project but carry over the production knowledge from your first order. Q3. Can tooling or a mold be corrected before bulk production?

Yes. Tooling and pattern corrections are made during sampling, before material is cut for bulk production. If a weld die, panel pattern, or hardware position needs adjustment, the engineering team records the change in the tech pack and produces a revised sample for approval. Fully new patterns may carry a tooling charge, which is confirmed in writing before modification. Allowing these corrections within the 6–10 working day sampling stage is safer than changing a design during the 35–50 day bulk schedule.
